Privacy Policy

Who we are

PropFox.ai (“PropFox”, “we”, “us”) is a SaaS product operated by Innova Sales Lab. We provide an AI receptionist and lead-management tool for real-estate brokerages. This policy explains how we handle information when a brokerage signs up for PropFox.

If you're an end-customer who called a phone number powered by PropFox, this policy describes how we process your information on behalf of the brokerage. For the brokerage's own privacy statement to its customers, look for the Privacy Policy link on the brokerage's own site.

What we collect

  • Account & workspace data — broker name, email, brokerage name, business address. Collected on signup and stored to operate your workspace.
  • Phone calls processed by the AI agent — caller phone number, transcript, audio recording, sentiment / outcome inferred by the LLM, and any structured fields the broker has configured the agent to capture (e.g. budget, location, intent).
  • Listing data — properties you add manually or sync from your kvCORE feed.
  • Billing data — Stripe stores card details on our behalf; PropFox never sees the full card number. We store Stripe customer / subscription IDs and payment status.
  • Usage telemetry — page views, feature use, error stack traces (via Sentry, with PII automatically scrubbed).

How we use it

Information collected through PropFox is used solely to operate the service for the broker:

  • Run AI calls — transcription, response generation, post-call summarization.
  • Send post-call follow-up SMS to qualified leads (subject to A2P 10DLC consent).
  • Match inbound leads to your listings.
  • Bill you, calculate usage / overage, and process payments via Stripe.
  • Monitor for service errors and abuse via Sentry & rate limits.

We do not sell your data. We do not train our models on your call transcripts, lead data, or listings. We do not share customer-level data with third parties except the subprocessors listed below.

Subprocessors

  • Supabase — primary database, authentication, file storage. Data resides in the US.
  • Vercel — application hosting, edge compute.
  • VAPI — orchestrates the AI voice agent (LLM, TTS, STT).
  • Telnyx — carrier-grade telephony for inbound voice + A2P 10DLC SMS.
  • Stripe — billing & payment processing.
  • Sentry — error tracking. PII fields are scrubbed before transmission.

Each subprocessor is bound by their own DPA / equivalent. We'll keep this list up to date — material additions get announced in-app.

Call recording & consent

US states fall into two consent regimes: one-party (the broker's consent alone suffices) and two-party / all-party (everyone on the call must consent, including states like California, Florida, Illinois, Maryland, Massachusetts, Montana, Nevada, New Hampshire, Pennsylvania, Washington).

By default, every PropFox AI agent discloses recording at the start of the call. The broker can disable this only if they're operating exclusively in one-party-consent states.

SMS & opt-out (TCPA / CTIA)

Outbound SMS goes through an A2P 10DLC-registered brand & campaign. Every recipient retains the right to text STOP (or UNSUBSCRIBE, CANCEL, QUIT, END) at any time to immediately suppress future messages. PropFox honors STOP at both the carrier level and the application level.

Retention

We retain call recordings, transcripts, lead data, and properties for as long as your workspace is active. On cancellation, the broker can request export and deletion via privacy@propfox.ai; we delete within 30 days unless a longer retention is required by law.

Your rights

Depending on where you live (GDPR, CCPA, etc.), you may have rights to access, correct, delete, port, or restrict processing of your personal data. Contact privacy@propfox.ai and we'll respond within 30 days.

Children

PropFox is a B2B SaaS product not directed at children. We do not knowingly collect information from anyone under 16.

Changes to this policy

We'll post material changes here and update the effective date. For changes that require new consent (e.g. new subprocessor categories), we'll surface an in-app banner before they take effect.
